Administrative Support Officer

£25,350 - £29,250 per annum, subject to experience

We are hiring an Administrator Support Officer on behalf of a local company on Anglesey. The role holder will serve as a primary point of contact to the company providing frontline contact with customers and contractors. They will deliver excellent front line customer service and support with company administration.

Job Overview

We are looking for an organised and customer-focused Administrator to support the day-to-day running of the business. The role involves providing excellent customer service, managing enquiries, coordinating workflows and jobs, maintaining records and databases, and supporting project administration. You will also assist with website and social media updates, organise meetings, and ensure accurate documentation is maintained in line with company procedures, health and safety, and quality standards. Strong communication, organisational, and IT skills are essential.

Responsibilities

Main responsibilities  

  • Delivering excellent front line customer service, liaising with clients, contractors,  and colleagues.   

  • Progress and organising workflows and supporting with general administration  relating to works, internal records and audit processes.   

Key/specific duties  

  • Dealing with a range of enquiries in a professional manner, establishing their  needs and adapting the standard responses accordingly.      

  • Work with others to make recommendations for the development and  improvement of current processes and procedures.  

  • Build effective relationships with key contacts to enhance service levels, and  communicate with various stakeholders through phone, email, post and other  means taking care to understand customer needs with a view to resolving  enquiries, triaging and liaising with or redirecting to others as required  

  • Undertake a variety of administrative duties to support the team   

  • Gather and review data to update administrative systems such as databases and  spreadsheets, making sure the information is accurate, and highlighting basic  trends and patterns.   

  • Organise meetings by scheduling dates, preparing and circulating  documentation, taking minutes or notes, (if required) and ensuring actions are  recorded and followed up, as required.   

  • Provide comprehensive administrative support to the company.  

  • Assist with the coordination of work projects, maintaining accurate records,  documentation, and updating project tracking systems.   

  • Assist with workflow organisation, including scheduling and organising jobs.  

  • Maintain and update the company website(s) and social media accounts, drafting  content, monitoring engagement and responding to contacts.  

  • Assisting with record keeping, collating and documenting information in  accordance with health and safety and quality assurance process requirements,  including supporting on administrative functions relating to internal and external  audit processes and undertaking operational checks and diligence as  appropriate.  


General duties    

  • Abide by all company policies and undergo appropriate personal and professional  development.   

  • Perform other duties which are not included above, but which will be consistent  with the role, including any duties reasonably directed.  

  • Meet the standards of the company’s bilingual policy

Requirements

Qualifications  

Essential:  

  • 5 GCSEs Grade C or above or a Level 3 (or higher) qualification in relevant  subject e.g. Business Administration / Customer Service, or demonstrable  equivalent experience.  

Desirable: 

  • A level qualifications and/or Level 3 (or higher) qualification in business  administration, customer service or any other relevant subject, or demonstrable  equivalent qualifications or experience.  


Skills and Experience  


Essential:  

  • Excellent interpersonal skills, including the ability to communicate and work  effectively with a wide range of people effectively and courteously  whilst maintaining professional standards, adapting your language and style of  communication depending on who you are communicating with.   

  • Ability to delivering effective oral and written customer services with confidence,  and to work efficiently within a busy environment and at pace.  

  • Experience of working in an administrative or office setting in a customer facing  role, and the ability to carry out a variety of administrative tasks, including writing  clearly and concisely.   

  • A practical understanding of using and updating social media platforms in a  professional context to communicate with the public.  

  •  Ability to deal with service requests, resolving customer issues or escalating  where needed, maintaining appropriate records.   

  • Ability to support the setup and maintenance of administrative systems and  procedures, using company tools to collate and record data. (Training will be  provided where required).  

  • Effective organisational skills to plan and manage your own workload, co-ordinate  projects and workflows, and organise and service meetings, including effective  note taking.  

  • Ability to use your initiative to solve problems and respond to queries, finding and  proposing solutions.  

  • Ability to gather, summarise, analyse and interpret company data effectively.  

  • Experience of using common office IT packages (e.g. MS Office, e-mail etc.) with  evidenced effective practical use within the workplace, including MS Word and  Excel.  

  •  A commitment to meeting company policies, including in respect of Health and  Safety, Data Protection, Quality Assurance, Equality and Diversity and Welsh  Language.   

  • A willingness to undertake further training and development as required for the  post.  

  • Ability to communicate bilingually in Welsh and English   


Desirable:  

  • Experience of working with clients in a range of context, including residential,  commercial and public sectors.   Experience of using Sage 50 Cloud Accounting package.   

  • Experience of updating websites
